The Real Problem

Your AI stack probably has more waste — and more upside — than you realize.

Most solo operators and small AI-native teams built their stack tool-by-tool, reactively, over 12–24 months. Each tool made sense in isolation. The collection rarely does.

🔧

Too Many Overlapping Tools

You signed up for three things that all do basically the same job. You probably know which ones. You haven't gotten around to cleaning it up because it works "well enough."

💸

Subscription Sprawl

$80 here, $200 there, $49 every month for a tool you used twice last quarter. Most operators are surprised when they add it up.

🕳️

Hidden Gaps

The 4-hour weekly task you're still doing manually because you never sat down to wire up the automation. Multiplied across your stack, that's days a month.

⚠️

Silent Risks

Customer data flowing through tools you forgot you authorized. Single points of failure. Vendors you'd be in trouble if they disappeared tomorrow.

🧩

No Unified View

You manage 10–20 tools across 10–20 tabs. You have no single place to see what your AI workforce is actually doing — or what it's about to do wrong.

🎯

Missed High-Leverage Moves

Other operators in your space have figured out workflows you haven't. Not because they're smarter — because they paused long enough to see the whole picture.

The bottleneck is not the tools. It's the lack of a clear-eyed look at the whole picture.

Running 15+ AI tools while building, selling, and supporting a business means you never get the time to step back and ask whether the stack is actually serving you. The AI Stack Audit is that step back — done in two weeks, by someone who lives in this stack every day.

The AI tool sprawl problem

Most operators built their stack tool-by-tool, reactively, over 12–24 months. Each tool made sense in isolation. The collection rarely does.

The Solution

The AI Stack Audit turns your sprawling AI setup into a clear map, a clear verdict, and a clear next 30 days.

We do five things in two weeks: inventory every AI tool in your business, map how they connect, identify what's redundant, missing, or risky, generate a prioritized action plan, and walk you through everything in a delivery session you'll want to record.

You leave with a complete picture of your AI workforce, a written report you can refer back to, and a 30-day plan of specific moves. No vague strategy. No "you should consider..." advice. Concrete actions, with time estimates and expected impact.

Process

How the AI Stack Audit Works

A clear, five-step process — designed around your existing stack, with structured async work and live calls at the right moments.

1

Kickoff & Discovery

A 90-minute call to understand your business, your goals, and how you think about your AI stack today. We surface the questions that will drive the audit. You also receive the pre-work questionnaire.

Business Context Goals Initial Tool List
2

Async Inventory

You complete a structured questionnaire that captures every AI tool you use, its purpose, monthly cost, frequency of use, and what frustrates you about it. Takes most operators ~60 minutes. Done in your own time.

Tool Inventory Costs Usage Patterns
3

Deep Dive Call

A 45-minute follow-up call where we go deep on the two or three areas that need the most exploration — usually the messiest workflows, the highest-cost tools, or the parts of the business where you suspect waste.

Workflow Deep Dive Pain Point Mapping
4

Analysis & Stack Mapping

We build the visual map, run the redundancy and gap analysis, write the tool-by-tool verdicts, and assemble the 30-day action plan. This is the heavy lifting — it happens on our end.

Mapping Analysis Recommendations Action Planning
5

Delivery & 30-Day Check-In

A 90-minute delivery call (recorded for you) walking through every finding and recommendation. You receive all documents, the visual map, and the action plan. 30 days later, one follow-up call to check what got implemented and what got stuck.

Use Cases

Four kinds of operators getting an AI Stack Audit

Each engagement is the same structure — the focus shifts based on where the highest-value findings tend to be.

💻

The Solo SaaS Founder

You run a SaaS doing $20k–$100k MRR by yourself, using AI for sales, support, customer success, marketing, and content. You're nervous you're spending too much time on operations that should be running themselves.

  • Manual work in onboarding/support AI could handle
  • Tool gaps in customer success and retention workflows
  • Compliance or data-flow risks before scaling
  • Clear separation of tools that matter vs. tools you tried once
🤝

The Agency Owner

You deliver client work through AI tools with a minimal human team. You're paying for many of those tools per-seat. You haven't audited whether the tools you bought 18 months ago are still the right ones.

  • Per-seat tool costs you could renegotiate or eliminate
  • Newer tools that have leapfrogged what you're paying for
  • Repeatable workflow templates to productize for clients
  • Process steps where adding/removing AI changes unit economics
✍️

The Content Business Operator

You run a newsletter, podcast, YouTube channel, or content brand with AI doing most production and distribution. Your stack grew organically and you have no idea if it's the right shape for where you're going. You want a clear-headed external look before you make any big tool changes.

  • Production bottlenecks where AI could unblock 5–10 hours/week
  • Distribution gaps where automation would compound reach
  • Brand-voice risks in how AI outputs flow to public channels
  • Monetization workflows not connected to the content engine
Illustrative Example — Not a Case Study

Example: A solo SaaS founder with 17 AI tools and a $1,400/month subscription bill

The operator runs a $40k MRR SaaS solo. We map every tool, find three redundancies (two AI writing tools doing the same job, two analytics tools overlapping with their CRM), identify four manual workflows in onboarding and support that can be automated this month, and flag a customer-data routing risk in their support stack. We deliver a prioritized 30-day plan: eliminate two tools (save $280/month), replace one tool (better fit, no cost change), wire up two automations (save ~6 hours/week), and remediate the data risk.

This is an illustrative example of how the audit typically plays out — not a guaranteed result, documented case study, or performance claim.

Audit Deliverables

What you get at the end of 2 weeks

The audit is a fixed-scope engagement. Here is exactly what gets delivered — no vague slide decks, no "consider these strategic options."

01

Visual AI Stack Map

A diagram of every AI tool in your business, how they connect, what data flows between them, and where the manual handoffs still happen. Most operators have never seen their stack on paper. Seeing it is half the value.

02

Tool-by-Tool Verdict Report

Every tool in your stack gets one of four verdicts: Keep, Optimize, Replace, or Eliminate — each with written rationale you can defend to anyone (yourself, a partner, an investor).

03

Redundancy & Subscription Cost Analysis

A clear accounting of where you're paying for the same capability twice, with estimated monthly savings from consolidating.

04

Gap & Risk Report

The manual workflows AI should be handling. The single points of failure. The data-routing risks. The compliance soft spots. Documented so you can address what matters.

05

Prioritized 30-Day Action Plan

A ranked list of 5–10 specific moves. Each one has a time estimate, an expected impact, and a clear how-to. Not "consider improving your support workflow" — "replace [Tool A] with [Tool B], migrate in 3 hours, save $120/month and 2 hours/week."

06

Specific Tool Recommendations

Where you should swap a tool, you'll get a specific alternative with rationale. No affiliate links. No vendor relationships. No kickbacks. If we don't have a strong recommendation, we say so.

Transparency

What we do not do

We want to be clear about what this service is — and is not. No vague claims, no gray-area tactics.

We do not take tool kickbacks or affiliate fees

Every recommendation is based on what's right for your business. We have no vendor relationships and no financial relationships with the tools we recommend. If that ever changes, we'll disclose it prominently before any engagement.

We do not guarantee specific savings, ROI, or outcomes

We deliver a structured audit, a clear map, and a concrete action plan. The implementation is yours. We do not promise specific dollar savings or hours-saved figures — only the audit work itself.

We do not implement tools for you during the audit

The audit is the audit. If you want hands-on implementation help afterward, we offer that separately on an hourly basis. We don't blend the two — it muddies the recommendations.

We do not work with operators just starting out with AI

You need a stack worth auditing. If you're using 1–2 AI tools and exploring, we're not a fit yet. Come back when your stack is real.

We do not retain access to your accounts after delivery

You'll give us read-only access to whatever we need during the engagement. After delivery, we remove all access. Your tools, your data, your business.

What we do: We deliver a clear-eyed, operator-to-operator audit of your AI stack — what's working, what's wasting money, what's missing, and what to do about it — in two weeks, for a fixed price.

Fit Assessment

Who this is for

This service is purpose-built for a specific type of operator. Take 30 seconds to see if it is a fit.

✓ This is a good fit if you are...

  • A solo operator or small team ($200k–$2M ARR) running a real business
  • Using at least 5 AI tools across your operations
  • Spending $500–$3,000+/month on AI subscriptions
  • Suspecting your stack has redundancies or gaps you haven't found
  • Comfortable with async work and willing to do ~60 min of inventory homework

  • Open to changing tools if it makes sense (not married to your current stack)

✗ This is not a fit if you...

  • Are just starting with AI and don't have a real stack yet
  • Want someone to implement everything for you (this is an audit, not implementation)
  • Are looking for AI strategy at the enterprise level (we serve operators, not Fortune 500)
  • Need on-site, in-person work (we're fully remote, async-first)
  • Want guaranteed savings figures or ROI promises
  • Aren't willing to share read-only access to the tools being audited
  • Are looking for free advice — this is paid work, fixed scope, fixed price

FAQ

Common questions

If you have a question not answered here, book a call and we'll answer it directly.

No. The audit works with whatever stack you have, as long as you have a real stack (5+ tools, used regularly). We're tool-agnostic. If you're using mostly OpenAI/ChatGPT, mostly Claude, mostly something else, or a mix — that's all normal. The audit looks at how your tools work together, not which brand you've chosen.
Roughly 4 hours across two weeks. That breaks down as: a 90-min kickoff call, ~60 minutes of asynchronous questionnaire work, a 45-min deep-dive call, and a 90-min delivery walkthrough. We do all the analysis and document creation on our end — you don't need to prepare anything beyond honest answers.
Not as part of the audit. The audit ends with the delivery call and the action plan. If you want hands-on help implementing recommendations afterward, we offer that separately on an hourly basis ($250/hr) — but only to audit clients, and only if our capacity allows. Most operators implement the changes themselves; the action plan is written to make that straightforward.
Two reasons. First, we have no affiliate or financial relationships with any of the tools we'd recommend or critique — full stop. Second, we're an operator, not an outside advisor. We run the same kind of AI stack you do, every day, for our own work. Recommendations come from someone who actually uses this stuff, not someone who studies it.
You don't have to. Most engagements involve read-only access (via screen-share or temporary admin invites) for parts of the deep-dive — but if you'd prefer to share screenshots, exports, and walk us through things on calls, that works too. It just takes a bit longer. We'll never ask for write access or store credentials.
That's the end of the engagement. Some clients book a second audit 6–12 months later as their stack evolves. Some bring us back for hourly implementation help. Most just take the action plan and run with it. There's no retainer, no automatic renewal, no upsell pressure.
Yes. The audit is fully remote, async-friendly, and works across any time zone — we just align the live calls to a window that works for you. The action plan and recommendations are written in plain English and don't depend on geography.
That's what the Extended engagement ($6,500) is for — it handles up to ~25 tools and includes multi-user workflow analysis for small teams. If your stack is even bigger than that, we'll scope a custom engagement on the discovery call. Honestly, if you have 30+ tools, you probably need this audit more than anyone.
